Tell us which device you're using and the version number from Settings › About. A screenshot helps; cover anything private first. Please don't send a backup file unless we ask: it holds your bank details and your customers' details.

Your subscription

How do I start the free trial?

Set up your business in Quotemate first. The Quotemate Pro screen appears the first time you save a new quote, invoice, customer or price list item, and you can open it any time from Settings › Quotemate Pro › See Quotemate Pro.

Choose Pro Monthly or Pro Annual and confirm with Apple. New subscribers get a free trial on either plan. Unless you cancel at least 24 hours before it ends, payment is then charged to your Apple Account. Starting a trial needs an internet connection.

How do I cancel?

In Quotemate, go to Settings › Quotemate Pro › Manage subscription. You can also cancel in the Settings app on iPhone or iPad (tap your name, then Subscriptions), or in the App Store on a Mac (click your name, then Account Settings).

To avoid the next charge, cancel at least 24 hours before the trial or the current period ends. Cancelling never deletes anything you've made.

How do I restore my subscription on a new or reset device?

Your subscription belongs to your Apple Account, so there's nothing to log in to. Sign in with the Apple Account you subscribed with, connect to the internet, then go to Settings › Quotemate Pro › Restore purchases. The same button is on the Quotemate Pro screen. Don't subscribe a second time.

What happens if my subscription ends?

Everything you've made stays yours to open, edit, send and record payments against. Converting an accepted quote, variations, deposit and final invoices, credit notes, reminders and restoring a backup never need a subscription.

You need Quotemate Pro to create new quotes, invoices, customers and price list items, and for the Bold and Minimal templates, your accent colour, backup files, export and iCloud sync. If sync was on, it turns off and everything stays on the device. Subscribe again any time to pick up where you left off.

How do I get a refund?

Apple handles all billing and refunds. Ask Apple at reportaproblem.apple.com. A refund never deletes anything you've made.

Your devices and data

How do I sync my iPhone, iPad and Mac?

iCloud sync is part of Quotemate Pro and stays off until you turn it on. Sign in to iCloud with the same Apple Account on each device.

Start on the device that has your real data: go to Settings › iCloud sync, turn it on, and wait for the first sync to finish. Then turn it on on your other devices. Order matters, because anything already on a second device is added to the same set, and matching customers and price list items aren't merged together.

Synced data uses your iCloud storage, not ours. Text records are small; job photos are not.

How do I back up and restore?

Go to Settings › Backup & restore › Back up now and save the file somewhere you keep, like iCloud Drive or your Mac. It's one readable .quotemate file holding everything in Quotemate. Making a backup is part of Quotemate Pro, and Quotemate can remind you 30 days after your last backup.

A backup file isn't encrypted and it includes your bank details, so keep it somewhere private.

To restore, choose Restore from a file on the same screen. Restoring never needs a subscription and never changes a document number. Restored the wrong file? You can put back what was there before.

I've got a new phone. How do I move my data?

If you use iCloud sync: install Quotemate on the new phone, signed in to the same Apple Account, restore your subscription (Settings › Quotemate Pro › Restore purchases), then turn on Settings › iCloud sync. Your data comes down from your iCloud. A large set can take a few minutes.

If you don't: back up on the old phone, then on the new one choose Settings › Backup & restore › Restore from a file.

Moving to a new iPhone with Apple's own transfer or an iCloud backup of your phone usually brings Quotemate's data across too.

Is my data safe?

Your quotes, invoices and customers are stored by Quotemate on your device, protected by your device's built-in encryption. There's no Quotemate account and no Quotemate server, so we can't see your data and there's no login to steal.

For extra protection, turn on Lock with Face ID (or Touch ID or passcode) in Settings. Quotemate then asks you to unlock it when it opens and after a minute away, and hides your documents while you're in another app.

Two things to keep in mind: backup files aren't encrypted, so keep them private, and the bank details you add print on every invoice you send.

How do I delete my data?

Delete Quotemate from a device and everything it stored on that device is deleted with it. If you used iCloud sync, also remove the copy in your iCloud: in the Settings app, tap your name, then iCloud, then manage your storage, choose Quotemate and delete its data. The wording differs a little between iPhone, iPad and Mac.

Backup and export files you saved, and documents you've sent, stay where they are until you delete them. We hold none of your data, so there's nothing to ask us to delete.

Before you delete anything, check how long you need to keep your business records, and save a backup if you're not sure. Inside Quotemate, issued invoices can't be deleted: cancel one or raise a credit note, so your records stay complete.

Does it work with no signal?

Yes. Quotes, invoices, payments, PDFs, backups and restores all work with no reception. When you send a document by Mail, it waits in your outbox and goes when you're back in range.

Only two things need the internet: buying or restoring a subscription, and iCloud sync, which catches up when you reconnect. Quotemate remembers your subscription, so going off-grid for a while doesn't switch off Pro, and you can always open everything you've made.

Quotes and invoices

I'm not registered for GST. Can I still use Quotemate?

Yes. Go to Settings › Tax & GST.

If the ATO has registered you for GST, turn on “I'm registered for GST”. Your invoices are then titled “Tax invoice”, show your GST and include your ABN (add your ABN first).

If you're not registered, leave it off. Quotemate adds no GST, never uses the words “tax invoice”, and prints “GST has not been charged. This business is not registered for GST.”

Whether you need to register is a question for the ATO or your accountant. Quotemate can't answer it for you.

How do I change my quote or invoice numbers?

Settings › Numbering sets the format for each kind of document. For example, INV-{SEQ:4} gives INV-0001, INV-0002 and so on. A new format applies to new documents; documents you've already made keep their numbers.

To carry on from your old system, change the number on a draft: the numbers after it continue from it. You can change a document's number while it's still a draft.

How do I send a quote or invoice?

Open the quote and tap Send. For an invoice, tap Issue, then Send. Quotemate makes the PDF and opens the share sheet, so you can send it by Mail, Messages, AirDrop or any app you use, or save it to Files. On a Mac you can also choose Save PDF or Print.

“Sent” means you shared the document from Quotemate. Because nothing goes through us, Quotemate can't tell you whether your customer opened it.

Does Quotemate do my BAS or my tax?

No. Quotemate is a document tool. It gives you the fields the ATO lists for a tax invoice, but it does not check your tax position and it is not tax, legal or accounting advice. Quotemate is not connected to the ATO and is not endorsed by it. You are responsible for whether your documents and your GST are right. Check anything you're unsure about with your accountant or registered tax agent.

With Quotemate Pro, Settings › Export gives your accountant CSV files and invoice PDFs for any date range. It isn't a lodgement: Quotemate doesn't prepare a BAS or send anything to the ATO.
